Yarra Yarra Rowing Club (the Club) respects your right to privacy and is committed to safeguarding the privacy of our members and website visitors. From time to time, the Club may change this Privacy Policy and may publish these changes on its website.

Collection of your personal information

We will only collect sensitive personal information about members with consent and when it is reasonably necessary for, or directly related to, one or more of our functions or activities. We collect this personal information in a variety of ways, including paper-based forms, and online (web-based forms and email). When no longer required, we destroy or archive personal information in a secure manner.

The Club collects basic information such as name, date of birth, address, email address, and phone numbers. The Club also collects other information in relation to membership, and may also collect personal health information.

Use of your personal information

The Club may use personal information in a number of ways; including, but not limited to; Club, competition and membership updates, membership invoicing and account management, and health and safety notifications.

Disclosure of your personal information

From time to time, the Club may be required to provide your personal information to other organisations such as Rowing Victoria (RV) for the purposes of RV Registration and activation of the insurance provided through RV Registration.

The Club will not otherwise share your personal information unless your permission is sought, or the Club is required to do so to comply with a legal proceeding, or legal requirement. The Club may also use your personal information to protect the copyright, trademarks, legal rights, property or safety of Yarra Yarra Rowing Club, its members or others.

By providing us with personal information, you consent to the terms of this Privacy Policy and the types of disclosure covered by this Policy. Where we disclose personal information to third parties, we will take reasonable steps to make sure that use and handling of YYRC members personal information is in accordance with the Privacy Act.

How do we keep your personal information secure?

The Club is committed to ensuring that the information you provide to us is secure. We take reasonable steps to protect your personal information against misuse, interference, and loss, and from unauthorised access, modification, or disclosure. These steps include:

  • Storing paper records securely as per Australian government security guidelines
  • Only accessing personal information on a need-to-know basis and by authorised personnel
  • Monitoring system access which can only be accessed by authenticated credentials
  • Ensuring our buildings are secure
  • Regularly updating and auditing our storage and data security systems

By using the RevolutioniseSPORT (cloud-based sports management) platform for the management of the Club’s membership, your personal information is stored securely on Amazon Web Services located in Sydney, and data is encrypted at rest.

 

File uploads are stored on Amazon Web Services in Sydney, which are tokenised to prevent file enumeration, with file type restrictions in place.

 

However, the Internet is not in itself a secure environment, and we cannot give an absolute assurance that your information will be secure at all times. Transmission of personal information over the Internet is at your own risk and you should only enter, or instruct the entering of, personal information within a secure environment.

 

Accessing and updating your personal information

 

Members may view their personal information in the Members’ area of the website and update it at any time. If you have any complaints about our privacy practises, please feel free to send in details of your complaints to the below address.
